How to save about 5 hours of receipt work every month.

How it goes today, and how it could go.

The hosting invoice sits in an e-mail from June, the supplier invoice in your downloads folder, the till receipt on your phone. At the end of the month you go and gather all of it.

The data has been read, the file carries a proper name, the folder is the right one. You review, I file.

From inbox to handover. Three steps.

  1. Collect

    You forward invoice e-mails to your personal address with me, connect your mailbox directly or upload files. There is nothing else you have to do.

  2. Review

    I read out the amount, date, supplier and invoice number and file the document under a clean name in your cloud. If I am unsure about a document, it is marked as waiting for you, and you decide. Nothing is released without you.

  3. Hand over

    At the end of the month you download a package for your tax advisor: a list of all documents, every PDF in one ZIP file and a posting proposal that your tax advisor reviews and releases. For your tax advisor: the proposal comes as a DATEV posting batch for SKR03 or SKR04.

What ReceiptTrail does not do.

I am no substitute for a tax advisor and I post nothing. Everything I recognise is a proposal for review and release. There is no direct connection to DATEV; the package is imported by your tax advisor. I am Béla Abel, a sole trader in Potsdam. ReceiptTrail grew out of my own bookkeeping: I no longer wanted to pull invoices out of e-mails at the end of every month. The system has been running for me and for my customers every day since July 2026. For one customer I read in 1066 old documents in two days at the start.

There is one mistake I do not want to keep from you. For a while the same invoice sat in my database three times, because I had used the date as the comparison key. The right key is the invoice number. Found, fixed, and the protection has held ever since. That is how I work: when something goes wrong I say so, and then it gets better.
